Data Protection Policy
This policy relates to the European Union General Data Protection Regulations (GDPR), as incorporated into UK law by the Data Protection Act 2018 (DPA18).
Motherwell Photographic Society (hereinafter referred to as The Society) is established with the objectives set out in its Constitution, to serve the interests of its Members.
The Society is a data controller within the UK. The personal information referred to in this
Policy may include name, postal address, telephone number, e mail address, membership
duration, records of entries in internal and external photographic competitions, permission to use images on the Society’s web site and such other information as may be necessary for the effective management of the legitimate interests of the Society. Any person wishing to verify the information held by the Society, or who can correct or update that information, may apply to the Secretary.
The Society collects and uses personal information for several purposes:
1. General Business
a. The Society may hold personal information for anyone contacting the Society, or whom the
Society contacts, for the purpose of conducting its general business.
b. The Society holds contact details of members. Personal contact details are used for the
purpose of communicating with members, issuing information to members on club activities
and for the administration of the club.
2.Data Retention
a. General business records will normally be held for a minimum of eight years.
b. The Society may retain historical archives indefinitely, for example but not limited to,
records of meetings, competition results and other event results.
3. The Society Web-Site
The Society may publish Photographic Images by club members with the permission of the
author(s) of said images, on the Society’s web site and be viewable by anyone. Contact
details of authors are not published on the web-site.
4. Competitions, internal and external
Society members, as the creators of images, enter Society events directly and this information
is held and managed subject to the Conditions and Rules for Competition Entries.
